This policy explains what information Potomac Lawn Professionals collects through this website, potomaclawn.com, and what we do with it. If you have a question about it, email info@potomaclawn.com or call (703) 533-5296.

Information you give us

We only receive personal information when you choose to send it to us through one of the forms on this site.

• Quote and callback requests: your name and phone number, how you prefer to be contacted, how you heard about us if you choose to say, and, if you fill in the longer form, your email address, property address, the services you are interested in, and any notes you add.
• Referrals: your name, phone number and email address, and the name, phone number, and, if you add them, the email address and street address of the person you are referring, plus any notes. Please only refer people who are happy for us to contact them.
• Job applications: your name, phone number, email address, the positions you are applying for, your answers to the application questions (such as work eligibility, experience, and availability), previous employers and why you left, who referred you, and your desired pay.

Calls, texts, and emails you send us directly are handled the same way as any other business correspondence.

How we use it

We use the information you send to respond to you: to prepare a quote, schedule and provide service, follow up on your request, or review your job application. We contact you by the phone number or email address you give us.

How form submissions are delivered and stored

When you submit a form, our website emails it to our office using SMTP2GO, an email delivery service. The submission is not stored in a database on the website.

To make sure a request is never lost, a copy is kept in a private log on our web server if a submission cannot be delivered, is incomplete, or is flagged by our spam checks. That log includes the information you entered and your IP address, and it is not publicly accessible. To prevent spam, the server also keeps a short-lived count of submissions from each visitor, stored as a scrambled (hashed) form of the IP address rather than the address itself.

Information collected automatically

Like most websites, our hosting provider and the security service that protects this site (Sucuri) automatically record standard technical information about each visit, such as your IP address, browser type, the pages you request, and the time of the request. This is used to run and secure the site.

Analytics and cookies

We use Google Analytics to understand how visitors find and use this site, for example which pages are visited and how people arrive here. Google Analytics uses cookies and collects information such as your approximate location, device and browser type, and the pages you view. It does not receive the information you type into our forms. Google processes this data under its own privacy policy, and you can opt out with Google’s browser add-on or by blocking cookies in your browser.

We use CallRail to learn how callers found us. Depending on how you arrived at this site, for example from a Google search or an ad, CallRail may show you a different phone number for our business, and it uses cookies to keep that number consistent during your visit. When you call that number, CallRail connects the call to us and records details such as your phone number, the time and length of the call, and how you reached the site. CallRail processes this information under its own privacy policy.

We advertise on Google, and we use Google Ads measurement to learn which of our ads lead to quote requests. If you arrive by clicking one of our ads, Google Ads uses cookies to recognize that visit, and when you send a quote or callback request we tell Google Ads that a request was made. With that notice we include the email address and phone number from your request in a scrambled (hashed) form, which your browser creates before anything is sent. Google uses it only to match the request to ads you saw or clicked, and it lets us measure which ads lead to real customers. No other details you type into our forms are sent to Google. If you pay for an order through our instant quote tool, we also tell Google Ads that an order was placed, without any of your order or contact details. Google processes this data under its own privacy policy, and you can control ad personalization in your Google ad settings.

If you reach this site through an ad or a tagged link, your browser also keeps a note of that link’s campaign details for up to 90 days. If you then send us a request, those details are included with it so we know how you found us.

Apart from Google Analytics, Google Ads and CallRail, the site does not set any cookies.

Services provided by other companies

Some parts of this site are provided by other companies, which receive basic technical information such as your IP address when your browser loads them:

• cdnjs (operated by Cloudflare) supplies the animation library the site uses.
• DeepLawn powers the instant quote tool on our instant quote page. The address and choices you enter there are handled by DeepLawn under its own privacy policy.
• Our client portal is a separate website run by our billing provider, with its own privacy policy.

Links to Google Maps, Facebook, Instagram, and YouTube take you to those sites, where their own privacy policies apply.

Children

This website is intended for adults arranging property services or applying for work. It is not directed at children under 13, and we do not knowingly collect information from them.

Changes to this policy

If we change how we handle information, we will update this page and the date at the top.
